Vacancy : Executive Office Assistant

Principal Accountabilities:

- Manages the daily operations of the Executive Office, ensuring smooth coordination between the General Manager, department heads, and external stakeholders.

- Handles confidential correspondence, prepares executive reports, and maintains accurate records and filing systems.

- Coordinates executive calendars, schedules meetings, and organizes travel and accommodation arrangements.

- Prepares board packs, presentations, and briefing materials for management and owner meetings.

- Liaises with guests, clients, suppliers, and stakeholders on behalf of the Executive Office, ensuring professional communication and service excellence.

- Monitors project deadlines, follows up on action items, and ensures timely completion of executive directives.

- Controls office budgets, supplies, and administrative resources to ensure efficient operations.

- Supports HR-related executive functions including staff communication, policy dissemination, and event coordination.

- Upholds the highest standards of discretion, professionalism, and confidentiality in all executive matters.

- Provides general office support including drafting documents, minute-taking, and handling high-level correspondence.


Requirements:

- Degree/Diploma in Business Administration, Hospitality, or related field.

- Minimum of 5 years' experience supporting senior executives, preferably in the hotel or hospitality sector.

- Strong organizational, communication, and interpersonal skills with the ability to manage multiple priorities.

- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

- Strong problem-solving skills, attention to detail, and ability to exercise discretion.

- Knowledge of hotel operations and industry-specific systems (e.g., Opera, PMS) is an added advantage.
